Onboarding Process
After you have accepted your new position and confirmed that your background check has cleared, please schedule your I-9 appointment. The I-9 form is a Federal document that confirms your identity and work eligibility. All employees have to complete this form in order for the University to stay in compliance with the Department of Homeland Security regulations. Please make sure you bring sufficient documentation from the List of Acceptable Documents to the appointment. Only unexpired, original copies will be accepted, no photo copies are allowed. Once the electronic I-9 is completed, we will also create your record in the payroll system at the time of the appointment.
Please note, all employees must complete an I-9 on or prior to their start/effective date. For more information on the I-9 document, please visit the Department of Homeland Security website here.
If you are being re-hired either by your department or elsewhere in the University, please check with our staff to ensure your I-9 has remained active and no break in work service has occurred. For employees who have not held continuous appointments, a new I-9 needs to be processed. A break in work service can be found by the end date of your previous appointment and start date of your new appointment.
For the appointment, you will need to bring the following:
- I-9 documentation
- Signed Offer Letter/Contract – not required for Class 5 student workers
- Background Check Clearance – not required for Class 5 student workers or Class 6 TA/GA
- Completed New Hire Form
- International Payroll Form – only required for F-1 and J-1 international students and is obtained by the Global Office
